Steps to Substituting in the Library for a Day:
1. Turn on the computer, and open Google Chrome. Then open the following in separate tabs:
2. Set up check-out and check-in using the button above, or scroll to the bottom of this page to read directions.
3. Check to make sure today's square on the reference desk's written calendar matches the "Book the Library" spreadsheet. The sheet has multiple tabs.
3. Check to make sure today's square on the reference desk's written calendar matches the "Book the Library" spreadsheet. The sheet has multiple tabs.
- Look at each tab by clicking the tab name at the bottom of the sheet.
- Write down (in today's calendar square) anything from the Google sheet that does not have a grey background (since I grey the background as I record it on the desk calendar).
- You will use this written calendar square throughout the day to manage the library so that you know who has signed up for library resources.
4. Check the schedule below to see what periods we are open and what periods teachers are here. After looking at the schedule, scroll down to keep reading directions.
Tech students and students making copies and checking out books are always permitted in the library even if a teacher's name is on the schedule.
Tech students and students making copies and checking out books are always permitted in the library even if a teacher's name is on the schedule.
5. Run the library throughout the day as follows:
- Collect passes (if students have them) and have students sign in: Have students give you their pass if they have one (they do not need them). Ask if they checked in with their study hall monitor first, and tell them to sign in on the reference desk computer Google Form.
- Sign students in: Students need to sign in using the "Library Attendance" form. (Students who are not staying--such as those printing or checking out a book--do NOT need to sign in.)
- Check out loaner chromebooks: See step 2 above. Bring the computer cart in 215 G with the scanner on top of it to the monitor near the upstairs restroom (Barb periods 1-3, Amber periods 4-8). Tell any student who wants to check out a chromebook to see the monitor near the upstairs restrooms for check out and check in. Keep the door to 215 G locked and closed so the chromebooks remain secure.
- Help teachers and students: When teachers and students are using the library, please help them with anything they need. If a teacher says they need your help in the library classroom, you will need to limit the number of students using the main library area. (Tech students and those copying or checking out books are always allowed as long as you are there to supervise the area. Try also to accommodate students needing a computer as long as they remain in the library and you are able to monitor them.)
- Encourage students to focus: Walk around continually to encourage any loud or distracting off-task students to work on school assignments and to help everyone focus. Tell students you need them to stay in their seat and work. (Finding a book is an exception to this.) I expect a manageable noise level, but not silence. Students using the library should be working, finding a book, or copying something. I do not micromanage them, but I expect the space to be a great place for everyone to work. Ask students to move furniture back to where it was (if they moved it) by the end of the period.
- No food: If a student takes out food or drink, please tell them to put it away and save it for later since this is a carpeted space. Students may show up mid-lunch period since they may eat in the cafeteria and come to the library when finished.
- Breakout rooms 215 A, B, and F: Tell students Mrs. Holt has said rooms are not available with Rebel bucks today and are only for academic purposes with specific passes from classroom teachers. If a breakout room has not been booked (Check today's square on the desk calendar you updated in step 3 this morning.), teachers may use it, or students may use it for private testing, special education concerns, video meetings, or focused work if they have a written teacher pass stating the specific purpose for using the room. Please make sure students use the rooms to work, not to watch YouTube or videos unless for class.
- Direct traffic:
- Close the art wing doors during lunch periods.
- During the time between periods, stand at the huge window or just outside of a door to monitor hallways.
- Help students find books: Watching the first video on the library home page will show you how to search the library catalog. You can direct students to this video or watch the video and direct them to the online catalog for browsing. If they need to browse by physically touching the books, they MUST use hand sanitizer. If a teacher sends a whole class of students to check out a book, tell the students to please tell their teacher they need to wait until I am back to check out their books.
- Help students log into computers
- Schoology: Log in to Clever with their school Google account, and click the Schoology app.
- Sora app and JLG Digital: UN: student ID; PW: birth month and date (example: January 30 would be 0130)...(Staff is employee ID and password INFOhio.)
- Help students and staff print and make copies:
- PRINT: Send students to room 214 for help with printing.
- COPY:
- On the copy machine, have students log in by touching "ID" and typing their ID number once.
- Click "device functions."
- Tell the machine how many copies (touch the number 1 and type a new number there).
- Tell the machine what you want (what you have - what you want; Example: if you have 1-sided but want 2-sided copies, press 1-2).
- Click the circular teal "start" button.
- 5 minutes before end of period:
- Circulate to remind students to throw away trash.
- Check the desk calendar, and ready spaces for any teachers who have signed up to use them.
- Planning and lunch: Your planning and lunch are periods 3 and 4. Close doors, and make sure doors are locked. Do this also if you are pulled to cover classes during any other periods I would otherwise be open.
- 8th period: Plug in all chromebooks, turn off projectors, pick up trash, push in chairs.
- For help, Janet Pastor is the person to ask any questions. She knows most of the answers about how to run the library. (If you need to reach her, use the library phone on the wall between the reference desk and the library classroom to call Karen Egan at extension 3627, and she will help you find Janet.)
- Please keep my office door closed.

- Enter the Username (UN) and Password (PW) written on the paper atop cart 1 in 215 G.
- Click the "Sign in" button.
Check Out:
- Open the chromebook, and check to make sure the number on the computer matches the number on the case. (It will look something like SHS-L01-04.) If the number does not match, DO NOT CHECK IT OUT; write a post-it note to me on the computer saying it is not the correct computer number, and put it on the chair in room 215 G.
- Scan/ type student ID number where it says “Scan your library card to start.”
- If the number on the device matches the number on the case, scan/ type 5 digit computer ID number where it says “Scan your library card when finished.”
- MAKE SURE the chromebook shows up under title (will look something like SHS-L01-04) . This is SO IMPORTANT because, even when the scanner beeps, if it does not show up, we will not know who has the chromebook.
Check in:
- Click Check In.
- Open the chromebook, and check to make sure the number on the computer matches the number on the case. (It will look something like SHS-L01-04.) If the number does not match, DO NOT CHECK IT IN; write a post-it note to me on the computer saying it is not the correct computer number, and put it on the chair in room 215 G.

- Look at the case to see what cart number and slot to plug it into. The first part tells cart 1 or 2 in small room 215 G, and the second part tells what slot in that cart. (example: SHS-L01-04, L01 means cart 1; 04 at end means slot 4. It would go in cart 1, slot number 4.)
- Please make sure all devices are plugged in by the end of the day so students will have enough charged chromebooks for the next day of school.
- Lock carts in 215 G at the end of the day, and keep it locked throughout the day to ensure the chromebooks' safety.
